EXECUTIVE ASSISTANT

Privately-held, diversified commercial real estate company seeks to hire an Executive Assistant to work directly with the Regional President and Executive Vice-President in the Region. Ideal candidate will be the “caretaker-type and someone not looking to climb the corporate ladder, but someone who enjoys taking care of their boss.” You will be responsible for assisting in the implementation and administration of projects, policies, procedures and programs on a day-to-day basis that will assure that responsibilities are well managed. Strong interpersonal skills required as you will interact and communicate with tenants, owners, vendors and fellow team members.

RESPONSIBILITIES…

Provide administrative support to the President, East Region and Executive Vice President, Marketing & Administration.
Oversee all office management duties including supplies, vendor contracts and maintenance.
Act as Project Manager for special projects, at the request of the Regional President and Executive Vice President, which may include planning and coordinating multiple presentations and disseminating information.
Manage the executive calendar/schedule.
Compose and type appropriate correspondence and memos.
Answer Regional President’s phone when busy, screen calls and email.
Assist with preparation of meetings.
Assist with business plan development.
Initiate and respond to executive correspondence and handle confidential information.
Schedule and organize complex activities, such as meetings, travel, and events.
Prepare expense reports including obtaining receipts as needed and reconciling and expensing all credit card charges to gain maximum reimbursement.
Assist with the completion of new hire paperwork to Human Resources department.
Participate and assist with Human Resources Initiatives.
Coordinate internship and mentorship programs.
Acts as an ambassador for the regional president and team members.
Track and assist in implementation of national and local Company initiatives.
Completes goals and projects in accordance with stipulated deadlines and measurements.
Assists Company executives with other projects, when requested.

REQUIREMENTS…
