Reputable and well-established full-service commercial real estate company in Duluth seeks to hire a part-time Receptionist. Days/hours are Monday, Tuesday and Wednesday from 8:30 am - 5:00 pm. At some point this position will go full-time.

DUTIES...

Greet and direct visitors with the "face of the company" demeanor.
Maintain the reception area (opening, straightening, etc.).
Professionally answer within 3 rings, screen and direct all incoming calls using 4-line switchboard.
Manager company info mailbox and company voice mailbox - check email and voice mails and forward accordingly.
Track staff "in and out of office" status.
Schedule meetings and conference rooms.
Keep conference room orderly, stocked with supplies and drinks.
Set up beverage service for quarterly client meetings in Conference Room. Clean up beverage service and reset room when meeting adjourns.
Work with others for phone coverage during times you need to be away from the front desk.
Update postage meter to ensure maximum functionality (funds, property list codes, fluids, tape).
Will need a reliable vehicle and insurance policy with combined single limit; $100K bodily injury per person/$300K bodily injury per accident/$100K property damage per accident to make a weekly trip to one of their clients.
Coordinate mail flow in and out of the office (date stamp all incoming mail after opening, sort, distribute for appropriate staff members) - scan incoming invoices to their AVID Payment Center.
Manage and update all company phone and email lists, i.e., when a staff member leaves or joins, the following day or two, remove from or add to all lists online.
Manage and update Answering Service List and email updates to our Answering Service on monthly or as needed basis.
Order, receive and maintain all office supplies.
Order, receive and oversee inventory (ink, waste toner) of all copy machines. Schedule maintenance when needed.
Stock and maintain copy and break room (end-of-day surface kitchen clean-up, run dishwasher).
Assist office manager with projects as needed.

$16 - $18 hourly - 25 hours weekly.
